Data Protection Policy

The Parish of Fleet has a Data Protection Policy which describes how the parish remains compliant with the Data Protection Act 2018 (UK GDPR).

Group Emails

Some rota overseers and other group leaders, chairs of sub-committees etc, use email communication to their rota/group members from their own email address, rather than using the ChurchSuite facility for doing this. Sadly, there is a risk of a data breach by doing this.

Our new Data Protection Policy covers this with three ways to communicate and also comply with the Data Protection Act 2018 (UK GDPR):

1. Use the My ChurchSuite facility for communicating by email with all members of your group (please speak to me about doing this if you have a team that is not a rota). Any member of a rota can also message all other members using My ChurchSuite.

2. Use a …@parishoffleet.org.uk email address yourself and blind copy (Bcc) all group members but note that this means they cannot ‘Reply to all’ or see anyone else’s email addresses. …@parishoffleet.org.uk email addresses can be provided to you and help can be given with setting this up on your device.

3. Obtain consent from everyone in your group using the consent form downloadable from here. Please obtain this consent and then exclude from any group emails anyone who has not consented – you can still communicate with them one-to-one. Please also keep this consent form up-to-date as new people join the team/group. I do not need a copy of the consent form but you should keep it.
